Teacher and applicant privacy notice
Under Article 10 of the Turkish Personal Data Protection Law No. 6698 (“KVKK”), we inform people who apply to work with us, take part in the Educator Academy, work with us as independent service providers or are our employees. Processing about students, parents and site visitors is explained in the KVKK privacy notice.
This notice is information, not a consent or an agreement. Accepting a contract does not mean agreeing to this notice. Anything that relies on your explicit consent is always asked separately, with an unticked, optional box.

4. Purposes and legal grounds (KVKK Art. 5)
| Activity | Legal ground |
|---|---|
| Assessing your application, keeping your academy account, arranging the interview and telling you the outcome | Directly related to entering into a contract (Art. 5/2-c) |
| Keeping the application of an applicant who did not start working with us, for a suitable future position (applicant pool) | Legitimate interest (Art. 5/2-f). If you object, your application is deleted once the assessment is over. |

| Publishing your profile, showing your photo or video, using your name, image or voice in promotion | Explicit consent (Art. 5/1) — each one asked separately with an unticked, optional box. Not giving or withdrawing it does not affect your work, lessons or pay. |
5. How we collect it
Electronically, through the application form, the academy and account screens, the agreement screen, e-mail and interviews, and on paper when you hand in signed documents.
6. Child safety check (special category data)
A criminal record is special category personal data. Therefore:
- The check is not asked of everyone, nor at the application stage. It is done only for people who will teach students under 18 one-to-one or without a second adult present, before they are assigned.
- It is done only on one of the grounds in KVKK Art. 6/3, in particular where it is expressly provided for by law (Art. 6/3-b) or necessary to meet a legal obligation in employment (Art. 6/3-f). Without such a ground the check is not done, and it is never made a condition of work through consent.
- You only show the certificate; its barcode is verified and only the date, the result and who checked it are recorded. No copy is taken, it is not requested by e-mail and it is not uploaded.
- Only management can see the record, which is protected with the measures the KVKK Board requires for special category data.
7. Work communication channels
The work e-mail and site messaging we give you are for work. In line with the KVKK Board’s principle decision 2026/2035 of 16 September 2026:
- Purpose: account and data security, business continuity, meeting legal obligations, and examining a concrete suspicion.
- Scope and method: traffic and access logs are kept for security. Message content is opened only where there is a concrete suspicion or a legal obligation, limited to that matter, and only when a less intrusive way is not enough. There is no continuous or covert monitoring.
- Who: only a small number of people authorised for this task; every access is logged and they are bound by confidentiality.
- Out of scope: your personal e-mail, personal messaging and social media accounts and the personal content on your own device. Being technically able to reach them does not give us the right to.
- When you leave: your work account is closed to use and to new access; a short forwarding or auto-reply may be used for business continuity.
8. Who we share it with
Only as far as needed for the purpose concerned:
| Recipient | Purpose | Location |
|---|---|---|
| Hostinger | Website, database and e-mail infrastructure | Abroad (EU) |
| Google Ireland Ltd. | Google Meet and Calendar (interviews and lessons); reCAPTCHA (form security) | Abroad |
| Brevo (Sendinblue SAS) | Delivering the e-mails the site sends | Abroad (EU) |
| Our accountant | Accounting, payroll and tax | Türkiye |
| Banks | Payments | Türkiye |
| Social Security Institution, Revenue Administration and competent authorities | Statutory filings and legally required requests | Türkiye |
| The students you teach and their parents | Your name and lesson details; your profile if you allow it | Where the student is |
Transfers to recipients abroad are subject to KVKK Art. 9 and must rely on one of the mechanisms it provides. We will tell you the mechanism for each recipient on request. If you work from abroad, your access to student data may itself be a transfer, so working from abroad is notified in advance.
9. How long we keep it
| Data | Period |
|---|---|
| Application and CV (if work did not start) | 12 months from the application; if you object to the applicant pool, deleted once the assessment is over |
| Interview notes | Same as the application; if work started, with the agreement records |
| Academy progress and certificate | While the account is open + 1 year |
| Agreement, category assessment, signature record and original | 10 years from the end of the working relationship (general limitation period, Turkish Code of Obligations Art. 146) |
| Earnings, payment, document and payroll records | 10 years (Commercial Code and tax law) |
| Working time, leave, expense and health and safety records | 10 years from the end of the working relationship, or longer where the law requires |
| Child safety check result (date and result only) | For the assignment and 2 years after it ends |
| Work communication traffic and access logs | 2 years; content only for the short period needed for business continuity after the account is closed (at most 3 months). In a dispute, the records concerned are kept until it is resolved. |
| Notice record | As long as the related application or agreement record |
When the period ends the data is deleted, destroyed or anonymised. Copies in backups are deleted in the normal backup cycle; if a backup is restored, data deleted earlier is deleted again.
10. Your rights and how to apply
Under KVKK Art. 11 you may ask whether your data is processed, request information about it, learn its purpose and whether it is used accordingly, know the third parties it is shared with, ask for correction, ask for deletion or destruction under the conditions of the law, ask that these steps be passed on to those it was shared with, object to a result against you produced solely by automated systems, and claim compensation for damage.
You can apply through the channels on the KVKK application page. Using the form is not required: applications in writing, by registered electronic mail (KEP), with a secure electronic or mobile signature, or from an e-mail address registered in our system are accepted too. We do not ask for more identity documents than needed. We answer within 30 days at the latest. Records we must keep by law are kept for that period even after a deletion request; we will tell you why.
If a breach affects your data, you and the KVKK Board are notified as the Board’s procedure requires.
Version 1.0 — effective 5 November 2026 (first publication). The Turkish text prevails.
